Search competencies across personnel

Sometimes you need to answer a "who has this?" question quickly: who holds a particular certificate, or who is qualified for a task you are about to plan. This guide shows you how to search across all your personnel to find exactly those people.

Before you start

  • You need the View personnel permission. This is a read-only search, so it does not change anyone's record.
  • It helps to know which competency or certificate you are looking for, so you can search by name.

Steps

  1. In People, open the competency search.
  2. Open the Competencies picker and select one or more competencies or certificates from the tree.
  3. To require people to hold all of the selected competencies, turn on Require all selected competencies; otherwise results include anyone holding any of them.
  4. Review the list of matching people. Each result shows the person, a match badge for how many of the selected competencies they hold (for example 2/3), and whether each of those competencies is current or expired. Only the competencies you searched for are listed against each person, not their full record.
  5. Narrow the results with the search box (by name, department, or employee number) or the filters until you have the people you need.

This search answers a targeted question about one or more specific competencies. When you instead want the full picture, showing every person against every competency in a grid, use the Competency matrix. When your question is specifically about what is about to run out, the Certificate expiry view is the better starting point.
