What a job capsule is and why you need one

A job capsule is the list of competencies a position requires. This article explains how it differs from a position, and why you need both.

A position and a job capsule are not the same thing

They are easy to mix up, because they often have the same name, such as "Crane Operator". But they answer different questions.

Think of a position as a chair in your org chart. One person sits in it. The job capsule is the list of requirements you attach to the chair.

Why not put the requirements on the position?

Because many positions need exactly the same things. Say you have 30 Crane Operator positions. They all need the same certificates and skills. Without a job capsule you would enter the same list 30 times, and update it 30 times every time a requirement changes.

With a job capsule you write the list once and attach it to all 30 positions. When a requirement changes, you change the capsule, and all 30 positions follow.

What a job capsule contains

  • A title, such as "Crane Operator".
  • The competencies the job requires, picked from your competency tree.
  • Optionally, a level for each competency. Then the capsule can say "holds it to level 3", not just "holds it".

The Crane Operator job capsule with four required competencies. Crane Operation requires level 3, and the other three show No levels defined.

How it fits together

  1. A person sits in a position.
  2. The position has one job capsule.
  3. The job capsule lists what the person must hold.

This chain is how Markular knows who a capsule applies to. When you run Competence gaps for a capsule at the Team level, it includes everyone whose current position uses that capsule. If someone moves to a position with a different capsule, they count towards that capsule instead. A position without a job capsule is left out.

Where you see it

  • Competence gaps, under Insights, compares what people hold with what a job capsule requires, so you can see who is missing what.
  • A person's profile shows the job capsule of their current position on the Employment tab.

What a job capsule does not do

A job capsule does not stop anyone from being placed in a position. You can put a person in a position even if they lack something the capsule requires. The capsule is the measure you compare people against, not a lock on the door.

If your organisation uses Planner, scheduling uses the requirements set up in Planner. Job capsules are not used there.
