Create and manage conversation templates
Conversation templates give recurring conversations, such as annual employee conversations and probation check-ins, a clear and familiar structure.
You need permission to manage conversation templates. This permission does not give you access to employees' preparation, private notes or completed conversation content.
Create a template
- Open People, then Employee conversations.
- Select Manage templates, then New template.
- Give the template a recognisable name and explain when it should be used.
- Add the talking points in the order they should appear.
- Add optional guidance where a question needs more context.
- If your organisation uses more than one language, open each language at the top of the editor and add the corresponding title, purpose and talking points.
- Review the employee preview, then select Save draft.
Keep the agenda focused. Do not place answers, personal details or sensitive case information in a template.
The languages belong to one template and always use the same talking-point structure. Add, remove and reorder talking points in English, then write the corresponding content for each enabled language. You can save incomplete language content as a draft. The language tabs show what is ready and what still needs content.
Publish a version
Select Review and publish when the structure and every enabled language are ready. Markular explains the effect before you confirm. A published version becomes available for new conversations.
When a conversation starts, Markular uses the attendee's saved language where a matching version is available. English is used for older templates that do not yet have another language. The selected title, purpose, talking points and language stay with that conversation. Later changes to the template or the attendee's language do not rewrite it.
Change a published template
Select Create new version, make the changes and publish again. The new version is used only for future conversations. If another administrator changed the same draft, refresh and review the latest draft before saving again.
Archive a template
Archive a template when it should no longer be used for new conversations. Existing conversations and earlier published versions are preserved.
Access and accountability
- HR administrators and organisation owners can be given permission to manage templates.
- Template administrators see the template structure, not conversation answers or private notes.
- Publication and archiving are recorded in the security history without recording template text or employee information.
