Complete tasks as an external contact
An organisation that uses Markular can give you tasks even if you do not have a Markular user, for example to close accounts when one of their employees leaves. You get an email with a link to a private page that shows only the tasks you have been given.
Open your tasks
- Select Open your tasks in the email.
- Check that the organisation name and masked email address are correct.
- Select Send me a code.
- Find the six-digit code in your email and enter it in Markular.
The code is valid for 10 minutes and can only be used once. After you enter it, you stay signed in for up to eight hours.
If the link has expired
For your security, each link works for 24 hours. Open the link anyway and select Send me a new link. Markular sends a new link to the same email address while you still have tasks to do. You can ask for a new link once every 10 minutes.
If the page says This link no longer works, ask the person who gave you the task.
Complete a task
Each task shows who it is about, when it is due and the details the organisation shares for it.
- Do what the task asks you to do.
- Select Mark as done.
Some tasks may not apply to you. They show Not applicable: write why, then select Mark not applicable. Only you and the company see your reason.
If you could not get a task done, some tasks let you select Record deviation. Choose what happened under What happened? and write a note if you like. Some tasks require the note. Then select Record deviation. The task closes for everyone who shares it and can't be reopened, and the company follows it up. Only you and the company see your note.
When a task is done, not applicable or has a deviation, it moves to Completed at the bottom of the page, where it stays for 7 days with how it ended. Select Completed to open or close the list. If someone else completes a task first, the task says so. When nothing is left, the page tells you there are no open tasks. You get a new email if you get another task.
If the organisation marks a task done for you, it moves to Completed with Marked done for you by and the organisation's name, and any note they left.
Ask a question or leave a note
Each task has Comments with the number of comments in brackets. Use them to ask the organisation something about the task or to tell them how it went.
- Select Comments on the task.
- Write in Add a comment.
- Select Post comment.
The people at the organisation who follow up the task read your comment and can answer there. Your own comments say You, and comments from the organisation show the name of the person who wrote them. When someone else has written, the comments are already open when you come back. Markular does not send an email when a new comment arrives, so look in on the task when you are waiting for an answer.
If the comment cannot be posted, the page says Could not post the comment. Try again. Your text stays in the field, so you can select Post comment again.
Tasks under Completed keep their comments, so you can still read them, but you cannot add new ones.
Reminders before and after the due date
If a task is due soon, Markular emails you a reminder about two days before the due date. If the due date passes and the task is still open, you get an email saying the task is overdue, and then one more every week until the task is done. If the organisation moves the due date, you can get the reminders again for the new date.
Each reminder has a new link that works for 24 hours, so you can go straight to your tasks. Links you got earlier keep working as before. If you got the task less than two days before it is due, you get no separate due soon reminder, since the email that gave you the task is still recent. In the same way, if you got the task after its due date had already passed, or the due date is moved to a date that has passed, your first overdue reminder comes a week later.
Keep your access safe
- Do not forward the email or share the code.
- Select Sign out when you use a shared device.
- Contact the organisation if the name or masked email address is not what you expected.
