Follow an employee through probation
A probation follow-up journey helps HR, the employee and their manager remember the right conversations and actions at the right time. It coordinates the process; it does not decide whether probation has been passed or replace professional and legal judgement.
Before you create the journey
Agree which checkpoints your organisation needs. A useful starting point is:
- an early expectations and support check;
- a mid-period conversation about feedback, working conditions and development;
- a final follow-up before the agreed probation end date.
Create separate published variants when countries or parts of the organisation need materially different steps. Give each variant a recognisable name, such as Probation follow-up: Norway. Do not place confidential feedback in a Task title, description or email.
For each variant, choose one selection rule:
- Tenant default is the fallback when no more specific variant applies;
- Working country applies to every matching employment in that country;
- Legal employer and working country applies only when both values match the same employment relationship.
Markular does not choose randomly between equal matches. Resolve overlapping configuration before using the journey.
Create the follow-up
- Open People, then Journeys.
- Select New journey and choose Probation follow-up.
- Add the agreed activities and choose whether the employee, current manager or journey starter is responsible.
- Place each activity before, on or after the probation end date.
- Review the timing and responsibilities, then publish the journey.
Use Tasks for clear actions and due dates. Use an employee conversation for confidential preparation and conversation content. The conversation host and attendee control access to that content; completing a checkpoint does not make the conversation notes visible to HR.
Start the journey
- Find the published follow-up and select Start journey.
- Choose a current employee. Future starters, former employees and withdrawn records are not available.
- Confirm the agreed probation end date.
- Review the employee, legal employer, working country, selected journey version and date before starting. Markular explains whether the legal-employer-and-country rule, country rule or tenant default selected the journey. If the person has more than one employment relationship, choose the relationship this follow-up concerns.
Markular saves the confirmed date with this journey. Changing a template later does not move activities that are already scheduled. Starting the journey does not change the employee's employment terms or an externally mastered probation date.
The employment context shown in the review is also kept with the journey. A later move or employer change therefore does not silently rewrite the context of follow-up already in progress.
Follow progress safely
The journey overview shows progress, next activity and anything that needs attention. HR can follow whether checkpoints are pending, late or completed without automatically receiving access to private preparation or conversation notes.
If the probation period changes, follow your organisation's employment process. Do not silently reuse or overwrite an existing journey date. Record the approved change in the authoritative employment record and start or adjust follow-up only through the controlled process your organisation has established.
If you need help
If an employee cannot be selected, confirm that the person is active, belongs to the expected employing country and is inside your area of responsibility. If an activity cannot be assigned to the current manager, correct the active reporting line and then resume the journey.
If no journey can be selected, publish a variant for the employee's working country or an explicit tenant default. If Markular reports equal matches, remove the duplicate scope before trying again.
