Set up legal employers and employment context

A legal employer is the company that enters into the employment agreement with a person. It is not necessarily the same as the person's working country, workplace, department or the country of a temporary assignment.

Keeping these details separate helps People choose the right onboarding or probation follow-up while retaining a clear history when someone moves.

  1. Open People, then Settings and Organization setup.
  2. Open Legal employers.
  3. Select Add legal employer.
  4. Enter the company's official name, registration country and effective date. Add the official organization number when available.
  5. Review the details and save.

When there is only one active legal employer, Markular uses it automatically for a new employment relationship and shows it for confirmation. People do not need to choose the same company in every journey.

When the organization has more than one employer​

Each company remains a separate choice, even when two companies are registered in the same country. When a person has more than one relevant employment relationship, People asks which relationship a journey concerns and shows both the employer and working country before it starts.

Do not choose an employer from the department name or working country alone. Confirm the company that is party to the employment agreement.

Changes during employment​

A move to another working country, workplace, department or position does not by itself change the legal employer. Record the new working context from the agreed effective date so the previous context remains in history.

If the person moves to another legal employer, end or transition the former employment through your approved HR process and create the new relationship. Correct a registration error as a correction rather than presenting it as an actual employer change.

The first release focuses on registering the employer and context for new employment relationships. A guided process for later changes will be introduced before this becomes the recommended way to maintain existing employments.

Journeys and probation follow-up​

When you start onboarding, offboarding or probation follow-up, the review shows the employment context used for that journey. Markular keeps that context with the journey, so later changes to the person's record do not silently rewrite an active or completed process.

For a future starter, the context is evaluated for the first working day. Your own current working country may help preselect people in a search, but it does not decide another person's legal employer.
