Run the documents report

The documents report gathers the documents held across your personnel into one table, so you can see at a glance what is on file for each person and where documents are missing or coming up for expiry. This guide shows you how to open the report and narrow it to the people and documents you care about.

Before you start

  • You need the View personnel permission to open and read the report. The documents report is read-only, so nothing you do here changes a person's record.
  • It helps to know the difference between official issued documents and general files before you read the report. See Official documents vs general files.

Steps

  1. In People, open Reports, then Documents Report. The table loads automatically and lists the documents held across your personnel.
  2. Narrow the list using the filters at the top, for example by file type, country, or department, so you focus on the group you are reviewing.
  3. Use the search box to find a specific person or document. The table updates as you type.
  4. Read across each row to see which documents a person holds and which are missing.
  5. Look for documents that are due to expire soon so you can plan renewals before they lapse.
